Gaps in coverage mean venues go understaffed
Generic tools weren't built to schedule against venue demand, role requirements, or multi-site shift patterns
Accreditation and check-in is a manual scramble
Spreadsheets, emails, paper lists. When event day arrives, knowing who's actually on site in guesswork.
Spreadsheet rosters collapse at event scale
50+ venues, over 1,500 staff, multiple languages. Tabs and formulas don't survive contact with that reality.
features
Built for the week of the event.
And the weeks before and after it.
Scheduling, onboarding, check-in, uniforms, safety, and reporting, designed around how events actually operate, not adapted from something that wasn't.
[before the event]
[01]
Scheduling and rostering
Build shifts around role types, venues, and rotation patterns. RunStager matches available staff against rest periods, daily hour limits, and contract-type rules in the same schedule.
[02]
Staff import & onboarding
Upload staff data with a column-mapping preview. Branded invitations go out in each staff member's chosen language - English, Japanese, and Spanish at launch. A "not yet activated" report tracks who still needs to complete setup.
[during the event]
[03]
Geofenced check-in and check-out
Staff check in and out on their own phone via a web app. Each check-in is geofenced to the venue gate - staff must be within a configured radius. Venue managers see a real-time "who is on site" view at any time. Location data is captured at check-in and check-out only; no continuous tracking.
[04]
Uniform collection and QR
Staff arrive, show their phone, collect their uniform. Done. No hardware to procure, no badge to pre-print. Collection is logged instantly, and the chicken-and-egg problem of issuing accreditation at pickup disappear entirely.
[05]
Safety check-in
For events in regions with natural disasters and to manage on site incidents, RunStager give managers a one tap workforce roll-call the moment a warning hits. Staff respond from their phone. You know who's safe, who was checked in and who needs help, without leaving your post.
[06]
Support multiple languages
English, Japanese, and Spanish available at launch. Additional languages can be added on request. Staff members can select languages from their profile and RunStager adapts. Language shouldn't be a last-minute problem at an international event.
[after the event]
[07]
Reporting and payroll
Attendance, shift utilisation, and worked-hours exports to CSV or Excel - formatted for handoff to your payroll firm. Full audit trail of every state change.
